The app lets you create and organize different types of tasks, reminders, checklists and more. With its free web version you can also sync all your tasks and to-do lists across multiple devices.

Tick tick also has an option to customize the tasks and get more from them. Separate them by colors and tags, for instance, or set recurring reminders, add them to your calendar, and share them with colleagues or friends if you are working on a collaborative task.

There is also a widget option for at-a-glance view of tasks on the phone home screen as well as built-in Pomodoro timer to complete your tasks within the deadline.

Easy Join

Are you someone who constantly switches between phone and computer to check notifications, messages or files, or check a website, your productivity is taking a hit. Further, you’re wasting a lot of time in the process.

If this sounds familiar, try Easy Join, an app that pairs and your Android phone with your PC and syncs all your messages, notifications and even your clipboard.

You can reply to your messages, attend to calls, view notifications, and even paste whatever you have copied on your phone. Be it something a web link or a phone number without ever leaving your PC.

There are a few downsides, though, to manually taking notes such as difficulty in organization, searching, and, sharing.

Just with social media, this is most ly your experience exploring the world of productivity apps available for download. From remembering due dates to your to-dos, there’s an abundance of project management resources for the productivity lover (or aspirer) out there to try. Storage apps Google Drive and Dropbox are useful,  but when it comes to your to-do list, you need productivity apps.

Getting overwhelmed can be quite easy for anyone, let alone someone who’s new to the scene. But the payoff of discovering a new productivity app that works can be well worth it.

So, I wanted to share my love for productivity apps with some suggestions that I use across my day and cover on my channel.

Productivity Apps For The Morning

Starting the day normally consists of reviewing my to-do list after a spot of meditation. 

Trello and Todoist are my go-to personal task management and project management apps. These project management software packages offer a free app and have a free version. Of course, there are also paid plans for added features and benefits.

These apps make my productivity so much better. A quick 5-10 minute overview at the start of the day allows me to manage the most important tasks I need to tackle.

Key features that I enjoy inside of Todoist and Trello are their offline functionality, which allows me to work without connection anytime—a saving grace living in rural England.

Trello’s built-in visual approach (that reminds me of social media) makes it perfect for checking in on mobile while out and about!

Other features, Todoist's smart schedule (which is AI-powered) and Trello Card Snooze, help organize any overdue tasks that I want to complete in the week but need to find the time for.

Conquering morning emails is important to my daily routine.

Newton* comes to the rescue here. It's a great option because Newton aggregates all of my email clients in one place, which helps my productivity with all the remote work roles I’m holding at the moment. The range of features allows me to send emails with email tracking abilities, which is perfect for checking whether the email has been read by the recipient.

Another bonus is being able to clip any work related tasks or notes to Trello using the plugin.

Productivity Resources To Power Through The Day

As I start work, my productivity is pretty high. One way I manage this is by making sure I know the time zone for all of the people I’m working with. It helps me organize the projects I’m collaborating on in the right order.

I use an app called Timezone.io to keep an eye on the time. Working with teams in India, the US, and Germany forces me to keep an eye on workday schedules around the world.

After a quick check of Timezone, I’ll jump into my day-to-day work. There are a host of resources I use throughout the day for various situations that I’d recommend to any -minded productivity fan:

  • Despite being a huge Google Calendar user, I also use another Slack bot that helps me to keep an eye on my daily meetings. The productivity software, Cisco Spark Meeting Notes, plugin on Slack allows you to get a direct message every morning with a lay your day’s meetings, pulling in data from your calendar. You can even include your team members. It’s very easy to setup and it works great for getting the day ready and preparing agendas to keep your meetings productive.
  • When things get really hectic, it can feel all the days in a week merge into one where nothing specific gets accomplished. Age-old methods the Pomodoro technique, in which you set a timer and work within a 25-minute intense session and a 5-minute break, are proven to help stay focused. But why not refine this project management practice? Resources FocusList allow you to set these timers along with tasks to complete. This simple to-do list and timer mash-up provides a great way to keep focused on both the task and the big picture. Another more interactive focus resource is Forest, which is great for students thanks to its playful nature.
    • Being able to keep track of all the habits you have in your routine is important. Whether you’ve just started running or you’ve just stopped smoking, tracking all of these touch points will help you be consistent and spot weak areas.Strides is one that I find very helpful for keeping an eye on all of the habits or targets I need to achieve.
  • Auditing hours in the day, especially when it comes to client work, is something I’ve been doing for over a year now with a lot of success. Being able to see what I’ve worked on (and for who) helps to establish the value of my time. Hours is a great time tracking resource (with iOS and web apps) to easily capture the hours you spend on each project. Reports allow you to audit how often you spend on items and with what client. Hours is perfect for contractors or freelancers, but it’s really for anyone looking to audit their work time. I've known a few others to use Toggl, though I can't personally vouch for it. However, it is one of the mobile apps that is easy-to-use and lets you log in hours.
  • Scanning in documents can be a pain, often leading to a massive pile of paper documents taking up space in your office or workspace. Scanbot is something I found very valuable for scanning in documents to my Evernote and other services. One simple scan and it’ll capture the document and have it ready to convert to PDF or ping into a notebook on Evernote or Google Drive. I also use a note-taking app for when I need to write something simple on the go. 

Winding Down In A Productive Way

As we all know, zoning out on social media won't help your productivity. There are other apps that I use to take a break, have some quiet time, and keep up on important news during my downtime and commutes:

  • Whether it’s lunchtime or time to head home, grabbing a few minutes to learn new things is something I thoroughly enjoy. Sometimes, we have to push aside all the due dates and productivity for some educational downtime. Using podcasting mobile apps,  Overcast, helps me to keep updated with all the latest startup and wellness podcasts. The app will actually speed up the podcast, shaving up to 5 minutes off the average 30-minute podcast. Another resource that has been extremely useful for fast learning is Blinkist*. The app summarizes popular nonfiction books and reads them to you in 15 minutes or less. Impressive, right?
  • Making sure you get a moment to yourself on a daily basis, whether in the morning or evening is important for decreasing your chances of burning out on the jobMindfulness will provide you with seamless meditation on-the-go, and a statistics feature will keep track of your progress. Across the app universe, there are plenty of guided and non-guided meditation resources to help you get started.Noisli is another way to keep relaxed at work, playing “productive” tones from environments a coffee shop or forest, allowing you to have some distraction-free, lyric-free music or background noise to help you get things done.

Find Your Purpose With The Help Of Productivity Apps

I love to use all of these productivity apps and resources throughout my day. Your lineup might be different, but the most important thing is to regularly review how you’re using them in your daily routine to make sure they are still helping you reach your goals.

I know, I really do know, that if you do a search for “best productivity apps” or any variation thereof, you’ll get literally thousands of results, hundreds of which are probably even recent and reasonably well put together.

With that in mind, thanks for indulging me in sharing this small handful of recommendations, and I’ll do my best to make it enjoyable.

I don’t claim that these are the objective best apps (a criteria I find very difficult to pin down and measure anyway), but these are the ones that I find myself using day in and day out and the first ones that come to mind when a friend or colleague with a new phone inevitably asks “are there any apps you think I should download?” If you’re a list maker, a content absorber, a time tracker, or a cross-platform worker bee me, I’ll bet you find something to love, too.

Wunderlist

As an obsessive list maker, I have spent I could not even tell you how many hours trying an ongoing stream of to-do list apps and utilities of all stripes, and for my money, brain, and workflow, nothing beats Wunderlist.

It offers the standard things you’d expect from any to-do list, but also a few key features that are (inexplicably, to my mind) missing in a number of the others I’ve tried: recurring events, separate lists for different tasks/areas of your life, sub-tasks that can be checked off independently, and wireless sync across different platforms. And all of this comes for the low low price of absolutely free, which is a not insignificant bit less expensive than the only app I’ve found that had a similar feature set (Things, covered below). While I wish the recurring events were a bit more customizable (I’d love an “on weekdays only” option) and there have been a few syncing issues recently (that were promptly resolved), nothing has been able to pull me away from Wunderlist.

Wunderlist also offers a Pro upgrade that allows you to assign tasks and discuss them directly within the app with other users and attach files to tasks, as well as a Business package that is easily scalable, letting it cross the work/personal border easily.

Keep is not the most fully featured note or check list app I’ve tried, but it makes up for it by having the features I absolutely need in the simplest, quickest interface I’ve used.

I love the ability to have check lists for shopping or packing in the same app I use to take notes, and the tiled layout makes it faster than anything else I’ve used, needing only one tap to see most information (unless I’ve made my shopping list too long again).

For someone already pretty entrenched in the Google ecosystem, for better or worse, nothing else is as simple and fast as Keep. (Though I do admit that Evernote is another strong contender.)

Harvest

If you have to invoice, track time, track project expenses, or nearly any related task, Harvest may be your new best friend. The web interface is clean and easy to navigate, and the tips that show up on pages periodically are legitimately helpful (and easy to dismiss), the apps are similarly easy to use, and everything syncs together seamlessly.

The two things that have set Harvest apart from the crowd for me is the ability to customize and send out invoices and the ability to track and edit time wherever and however and assign time to different tasks.

Not only can Harvest tell me how many hours I worked today, but it can tell me how many hours were spent on which task or which project, and if I have to go offsite for a meeting or do a task that doesn’t involve being in front of the computer (rare, but it happens!), the Harvest mobile app can track my time seamlessly from my pocket or bag or the kitchen counter or wherever else I happen to be. And because of their open API and easily scalable plans, just about any business could make it work.

Pocket

From the fine folks who brought us what used to be known as Read It Later, Pocket is, as far as I’m concerned, the one app to rule them all when it comes to keeping track of the slew of links that come across my social media feeds and my own searching and browsing every day. The key to Pocket’s usefulness for me is in its interface with existing and reading apps.

I can take five minutes to scroll through my timeline while I’m waiting for my coffee in the morning or sitting on the train, but typically I don’t want to take the time to read the articles I’m interested in while I’m in the middle of my browsing.

Sitting at my desk with my laptop that’s not a problem, I just open the link in a new tab and switch over to it when I’m ready, but a slightly cumbersome but doable workflow on a computer becomes downright impossible (or so awkward as to be functionally so) on a mobile device.

Pocket lets me simply long tap on the tweet with the link I want to save, select Pocket from the menu, and know that the link is safe and secure in whatever version of the Pocket reader I want to use to go back to it.

While the Pocket reader is really designed to make the actual reading experience more streamlined (taking away all those unnecessary page breaks and distracting sidebars from cluttered websites), it also works perfectly well as a general link aggregator. I’ve used it to save videos and photos and more for myself, and while some of them I couldn’t ultimately view from within Pocket, the link was saved for me all the same, and in a location I remembered to check.

Things

I include Things here with, admittedly, some reservations. There’s no web interface and no mobile device support for anything other than iOS, so if you have any device that isn’t made by Apple, you’re left out in the cold. It’s also expensive for what it is.

To get Things running on a Mac, an iPhone, and an iPad would set you back about $80 which, while not prohibitive for many people, still just feels steep relative to the competition. What Things has going for it, though, is that it just works so beautifully.

The ability to group tasks together by area family or errands or work, and assign priority levels, required energy levels, and required time and then filter by combinations of those criteria allows an amazing ability to wring every last ounce of productive time your day.

Put dinner in the oven and then filter by half an hour or less, high priority, low energy, and find an important but quick and relatively easy task you can get done before it’s time to eat.

Filter by highest energy required as your morning coffee kicks in and tackle the hardest tasks first so you can deal with the less exhausting things as the caffeine wears off late in the afternoon. It’s just a truly fantastic app. Is it fantastic enough to justify the cost? That’s where I’m a little more on the fence, but I do think it’s still worth recommending at least checking out the trial and seeing for yourself.

Ever had one of those days when you can’t remember your passwords? Have you had to wait until the IT department gets back to you with a replacement? Or do you just go straight for the reset button? Well this app takes that onus off your shoulders, so you can deal with the things that really matter.

One of the great things about Keeper is its ability to synch across devices, which means you don’t have the frustration of repeatedly entering in the wrong password and locking your accounts or having to reset them. It keeps everything behind a single ‘master’ password that wipes your secrets if a hack is attempted.

If your office has a number passwords for various tools, programs, accounts etc (as I’d expect) Keeper also has a group option. Group administrators manage the accounts and users to control what goes to whom. There’ll be no more asking around the office for the password or post it notes with passwords scrawled on stuck to computer screens.

All in all this app enables you to work hard without having to take involuntary breaks you hunt down missing passwords.

It integrates with all of your email accounts and calendars as well as tracking all of your leads and proposals. Claiming expenses can be a time consuming process, all those forms to fill out and keeping track of those receipts. Let’s just say it’s not a task for the faint-hearted.

That’s where Shoeboxed proves its worth. This free app (a running theme I know) is great for people who frequently find themselves out and about in the name of business. It enables you to scan your receipts into your phone as you go, it then collates and organises these receipts for you.

That’s pretty great in its self but when the time comes to generate an expenses report Shoeboxed comes into its own. It does all the work for you; all you have to do is send it – which you can, of course, do straight from the app.

There’s also a handy feature on the app if you find yourself with countless business cards after that town conference. Much the receipt function, you just scan the business card with your phone and voila, the information is pulled from the image and then stored in a personal contact list. Impressive, is probably the word you’re looking for.
